Volunteering for the ILT Kidzone Festival is great fun …
…but there are certain things you need to know about the festival and how our volunteer system works so you can make the most out of your time at ILT Kidzone.
Volunteering
You can register as an ILT Kidzone Festival volunteer on our website – www.iltkidzone.co.nz
Just fill in the form and we will get a notification that you have registered to volunteer. If you are 18 years or older please also print off and complete the Police Vetting Form and return it to us.
Please make sure you provide a mobile phone number and an email address! This is how we will make contact with you to confirm what times you are rostered on during the festival.
Volunteer Orientation Session
As a volunteer it is compulsory that you attend one of the two sessions held at Southland Girl’s High School main staff, staffroom. This is our opportunity to introduce the management team and give you a tour of the festival. During these sessions we will also show you what entrance to use during the festival to arrive for your shift as well as the sign-in procedure.
Arriving
Volunteers can be on site from 8:45am. The entrance next to the main entrance will be open from 9:00am – 9:30am for volunteers to arrive. Security will then lock this door to stop the public coming through this entrance. Each morning here will be a briefing in the main staff room at 9:30am.
Leaving
All volunteers must be off site by 4:30pm at the latest. The festival finishes at 3:30pm and security will begin asking the public to make their way to the exit. During this time, you are to stay in your area and help prepare it for the next day. It is important you stay and help as we want the festival to look clean and ready for the next group of families the following day. At 4:00pm you may make your way over to the Mothership for the end of the day debriefing and the prize draw.
Mobile phones
Please do not use your mobile phone whilst on duty at the festival. No responsibility/liability is accepted by Great South for any lost or missing mobile phones.
The Mothership
The Mothership is located in the staffroom at Southland Girls’ High School. This is where you will meet in the morning, receive your briefing for the day, sign in, get your t-shirt, name badge and be allocated to an activity for the shift. Any items left in the Mothership are your own responsibility.
Uniform
We provide you with an official ILT Kidzone Festival volunteer t-shirt to wear while you are on duty. At the end of each day we have South City Laundry who kindly come and pick up all the t-shirts and take them away to be washed. They will be ready and waiting for you on your next shift.
We recommend that you wear clothing under these t-shirts as it is the middle of winter in Southland and some days can be very cold. We also can’t guarantee whether you will be inside or outside at the festival, so it pays to wear layers. Please wear closed-toe sensible shoes, suitable for slippery surfaces.
Breaks
Your Area Manager is in charge of sending you on your break. We will make sure everyone has the opportunity to have something to eat and get away from the crowds however please bear in mind that there are 1,800 patrons onsite every day and the festival does not stop for a lunch break.
Your Duty Manager will do their best to send you on a break around lunchtime, but it may be earlier or later. Please take the opportunity when you are given it. We provide food on site for volunteers which is supplied in the Mothership. Breaks must be taken in the Mothership.
ILT Kidzone Festival Ambassador
Please remember that while you are a volunteer at the ILT Kidzone Festival you are an ambassador for the festival as well as an ambassador for Southland. Bad language and/or behaviour will not be tolerated.
Personal Grievance And Disputes
If you have a personal grievance or dispute during your time at the ILT Kidzone Festival we recommend that in the first instance, you approach your volunteer coordinator (VC). If you are unable to reach your VC or feel uncomfortable doing so, please contact the ILT Kidzone Operations Manager. If this problem requires further communication, please contact Great South's People and Culture Coordinator on 03 211 1400.
Police Vetting
If you are 18 years or older, we require you to be Police vetted. Please complete the form (attached). We are also required to see photographic identification, so please include a photocopy of two forms of ID (e.g. passport, original birth certificate, driver license, 18+ card etc.). Once you have filled the form in you can either:
